According to recent research from the Association of Certified Fraud Examiners, AI chatbot business records now capture reasoning, decision-making, and strategic planning in ways that traditional business records never did. Most small business owners think "AI readiness" means picking the right tools or training employees how to write prompts.
That's backwards.
AI readiness means having governance frameworks in place before you scale AI usage. According to the ACFE analysis, mature organizations now treat AI chat logs as part of their information-governance infrastructure. These records require protection, classification, and proper lifecycle management.
For small businesses, that sounds overwhelming. But you don't need enterprise-level governance. You just need basics:
Data classification policies: What information can and cannot be entered into AI tools? Not vague guidance—specific policies like "never enter client names, financial figures, or internal project details."
